Important Information About AI-Powered Features

Effective Date: October 8, 2026

CRITICAL SAFETY NOTICE: TroubleshootHD uses AI to help you find information faster. AI is a reference tool to assist your work — it does not replace your expertise, your professional judgment, or original OEM documentation. Always verify. Always follow your site safety procedures.

1. What the AI Does

TroubleshootHD uses AI in several places across the Service. Most features work by searching the equipment manuals your organization has uploaded and returning relevant information, with citations to the source pages when the answer comes from them. Others process the notes, photographs, and records you create. The Toolbox answers general workshop questions without searching your manuals. AI features include:

●Manual search and chat: Ask questions in plain language and receive answers sourced from your uploaded manuals, with clickable citations to the pages the answer comes from.
●Wolf Vision: Side-by-side PDF viewer with integrated AI chat.
●Toolbox: General heavy-equipment reference answers from the AI's general knowledge, without your manuals and without citations. Any values it gives are typical values, not your machine's specification.
●Service sheet generation: AI-generated maintenance checklists and service procedures derived from your uploaded manuals.
●Specification extraction: AI extraction of lubrication, hydraulic, and component specifications from your uploaded manuals.
●Shift handover generation and transcription: AI drafting of handover summaries from your logged work, and transcription of photographed handwritten handover notes.
●Historical import: AI extraction of repair records from photographs of handwritten work orders.
●Learn mode: Study guides and knowledge checks generated from manual content.
●Repair log cleanup: AI formatting and structuring of your written or dictated repair notes. Dictation itself uses your browser's built-in speech recognition, not TroubleshootHD's AI.

2. Critical Limitations

AI RESPONSES CAN BE WRONG. The AI may misinterpret manual content, combine information incorrectly, omit critical details, or reference outdated information. Never trust an AI response without verifying it against the original manual page. When an answer cites a page, open it; when it cites none, find the information in the manual yourself before relying on it.
●Accuracy depends on source quality: The AI can only be as accurate as the manuals your organization uploads.
●No independent equipment knowledge: The AI has no knowledge of your specific equipment's condition, modification history, or site-specific factors.
●No awareness of updates: The AI cannot account for technical service bulletins (TSBs), field modifications, or recall notices not included in your uploaded manuals.
●No real-time data: The AI cannot access live equipment telemetry, active fault codes, or any real-time information from your machines.
●Hallucination risk: Like all large language models, the AI may occasionally generate plausible-sounding but factually incorrect information, including fabricated specifications, torque values, or part numbers.
●Citations are your safety net: Answers drawn from your manuals cite the manual page the information came from. Not every answer has a citation: Toolbox answers never do, and an answer the AI could not tie to a manual page has none. Treat an answer without a citation as unverified.

3. Your Responsibilities

When using TroubleshootHD's AI features, you are responsible for:

●Verifying all AI responses against the original OEM documentation before performing any maintenance, repair, or diagnostic procedure.
●Following all applicable safety procedures, including your site's lockout/tagout protocols, job hazard analyses, and applicable workplace health and safety legislation.
●Using your professional judgment. If an AI response doesn't look right, trust your experience and training over the AI.
●Consulting your supervisor, a senior mechanic, or a qualified engineer when dealing with safety-critical systems.
●Ensuring uploaded manuals are current and authorized.
●Reporting AI errors with the thumbs-down button on Wolf Vision answers, or by contacting support@troubleshoothd.com.

4. What the AI Is Not

TroubleshootHD's AI is not, and should never be treated as:

●A replacement for qualified mechanics, technicians, or engineers.
●A substitute for OEM-approved repair procedures, service bulletins, or engineering sign-off.
●A safety system, safety-critical device, or safety management tool.
●A certified or approved diagnostic tool.
●Professional engineering, technical consulting, or regulated professional advice of any kind.
●A replacement for proper trade training, apprenticeship, certification, or continuing professional education.

5. How AI Responses Are Generated

●When you ask a question in Wolf Vision or Old Mate, the system searches your uploaded manuals using a hybrid approach combining keyword matching and semantic (meaning-based) search.
●The relevant manual excerpts, along with your question and conversation context, are sent to an AI language model (Anthropic Claude) to generate a response.
●The AI generates an answer based on those excerpts and cites the pages it used, so you can verify the information directly in your manual.
●Toolbox questions are answered from the AI's general knowledge, without searching your manuals.
●Your manuals and queries are never used to train AI models.
●AI chat answers are not cached or reused; each answer is generated for your question.

6. Reporting AI Issues

If you encounter an AI response that is clearly incorrect, misleading, or potentially dangerous: do not act on the incorrect information, report the issue to your Organization's administrator, and, in Wolf Vision, use the thumbs-down button on the answer. For urgent concerns, contact us directly at support@troubleshoothd.com.

7. Limitation of Liability

TROUBLESHOOTHD INC. PROVIDES AI FEATURES AS AN INFORMATION RETRIEVAL AND REFERENCE TOOL ONLY. TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, TROUBLESHOOTHD INC. ACCEPTS NO LIABILITY FOR ANY INJURY, DEATH, PROPERTY DAMAGE, EQUIPMENT DAMAGE, ENVIRONMENTAL HARM, FINANCIAL LOSS, OR ANY OTHER DAMAGE OR LOSS ARISING FROM YOUR USE OF OR RELIANCE ON AI-GENERATED CONTENT.

Australian Users: consumer guarantee rights under the Australian Consumer Law apply in addition to this disclaimer.

8. Summary

Use TroubleshootHD to find information faster. Always verify against the source page. Always follow your safety procedures. Always trust your training, experience, and professional judgment over an AI response. When an answer cites a page, open it.
